Purpose
1.1 This Acceptable Use Policy ("AUP") defines the rules and boundaries for using the ORBIS platform. It supplements the Terms of Service and Client Service Agreement. All users of ORBIS, including restaurant owners, managers, and staff, must comply with this AUP.
Permitted Use
ORBIS is designed exclusively for legitimate restaurant operations management. Permitted uses include:
- Financial management: P&L tracking, invoice auditing, cost analysis
- Supplier management: invoice monitoring, discrepancy detection, automated disputes
- Reputation management: review monitoring, sentiment analysis, brand-voice responses
- Compliance: kitchen monitoring, temperature tracking, violation documentation
- Knowledge management: staff training, SOP access, allergen and menu information
- Scheduling: shift planning, labor cost optimization, overtime alerts
- Reservations: phone and WhatsApp reservation management
Prohibited Use
You must not use ORBIS to:
- Engage in any unlawful, fraudulent, or deceptive activity
- Generate false financial documents, fabricated P&L reports, or misleading supplier communications
- Submit fraudulent invoices or manipulate financial data for tax evasion or insurance fraud
- Harass, threaten, or defame any person through ORBIS-generated communications
- Generate fake reviews, manipulate ratings, or engage in review fraud
- Monitor employee activity beyond the scope of legitimate operational management
- Collect or store personal data in violation of applicable privacy laws
- Attempt to reverse-engineer, decompile, or extract source code from any ORBIS Agent
- Circumvent access controls, authentication mechanisms, or security features
- Share your ORBIS account credentials or access with unauthorized third parties
- Resell, sublicense, or redistribute ORBIS services without written authorization
- Use ORBIS outputs to build, train, or improve a competing product or service
- Overload the platform with excessive automated requests designed to degrade performance
Data Responsibility
4.1 You are responsible for the accuracy and legality of all data you provide to or through ORBIS, including supplier contracts, invoice data, menu information, SOPs, and staff schedules.
4.2 You are responsible for obtaining any required consents before enabling kitchen camera monitoring (Agent 04) or phone call recording (Agent 07) in your establishment. ORBIS provides the technology; compliance with local surveillance and recording laws is your responsibility.
Automated Actions
5.1 Certain ORBIS Agents take automated actions on your behalf, including sending dispute emails to suppliers (Agent 02), publishing review responses (Agent 03), and confirming reservations (Agent 07). By activating these Agents, you authorize ORBIS to perform these actions using your business identity.
5.2 You may configure approval requirements for sensitive actions (e.g., requiring manual approval for negative review responses). It is your responsibility to configure these settings appropriately.
Enforcement
6.1 ORBIS reserves the right to investigate suspected violations of this AUP. Upon confirmed violation, ORBIS may: (a) issue a warning; (b) suspend specific Agent services; (c) suspend entire account access; or (d) terminate the Client Service Agreement.
6.2 ORBIS will provide written notice of any enforcement action and, where practicable, an opportunity to cure the violation within five (5) business days.
6.3 Serious violations (fraud, illegal activity, security compromise) may result in immediate termination without cure period.
Reporting Violations
7.1 If you become aware of any violation of this AUP, please report it immediately to temo@orbis.restaurant.
Changes
8.1 ORBIS may update this AUP from time to time. Changes will be posted at orbis.restaurant/aup. Continued use of ORBIS after changes constitutes acceptance.
